TaskFari (“TaskFari”, “we”, “us”, “our”) is provided by Fluent Path Ltd, Unit A, 82 James Carter Rd, Mildenhall, Bury Saint Edmunds, IP28 7DE, U.K. This Policy explains what personal data we collect, how we use it, and the choices you have. It applies to visitors, trialists, customers and users of taskfari.com and associated apps.

1) Controller & Contact

UK/EEA residents can complain to a supervisory authority (UK: ICO).

For Customer Data inside an Organisation workspace, your Organisation is the Controller; TaskFari acts as Processor.

2) Data We Collect

  • Account & Organisation: name, email, password (hashed), verification; organisation name/slug, roles, trial/subscription.
  • Workspace Content: tasks, forms, submissions, comments, files/photos, audit logs.
  • Usage & Device: IP, device/browser, time zone, language, pages/actions, diagnostics.
  • Communications: support tickets, feedback, surveys.
  • Payments: processed by our provider (e.g., Stripe). We don’t store full card data.
  • Third parties (lawful): identity/anti-fraud checks, SSO, public sources.

3) Purposes & Legal Bases

  • Provide the service (Art. 6(1)(b) – contract).
  • Trials & billing (contract; legal obligation).
  • Security & fraud prevention (legitimate interests; legal obligation).
  • Product improvement (legitimate interests).
  • Service communications (contract/legitimate interests). Marketing with consent where required.
  • Compliance & enforcement (legal obligation/legitimate interests).

Where consent is used, you can withdraw it anytime; prior processing remains lawful.

4) Cookies

We use cookies/local storage for essential operations, preferences and analytics. Non-essential cookies run only with your consent. Manage choices via our banner or your browser settings.

5) Sharing & Processors

We do not sell personal data. We share only as needed:

  • Service providers (hosting, email, analytics, payments, security) under DPA terms.
  • Within your Organisation per role permissions.
  • Legal/compliance requests; to protect rights, safety and security.
  • Corporate events (merger/acquisition) with safeguards.

Controller vs Processor: for account/website data, Fluent Path Ltd is Controller; for workspace Customer Data, we are Processor under our DPA.

6) International Transfers

Transfers outside the UK/EEA use SCCs with UK Addendum / IDTA and appropriate supplementary measures.

7) Retention

  • Account data: life of account + reasonable period for records/legal duties.
  • Workspace content: until deleted by your Organisation or upon closure (subject to backups/legal duties).
  • Trials not converted: deleted/archived after a grace period.
  • Logs/analytics: typically 12–24 months unless needed longer.

8) Security

Encryption in transit, hashed passwords, least-privilege access, audit logs, network controls, patching, monitoring. Report incidents to security@taskfari.com.

9) Your GDPR/UK GDPR Rights

Rights include access, rectification, erasure, restriction, portability, and objection (incl. marketing). You may withdraw consent at any time and complain to a supervisory authority (UK: ICO).

For workspace Customer Data, contact your Organisation admin first; we’ll assist them as Processor.

10) Children

Direct self-sign-ups: TaskFari is not intended for individuals under 16.

Organisation-invited users: use is permitted only where the inviting Organisation ensures each user is of legal working age in their country and has all required consents/authorisations (including parent/guardian consent where required) and supervises the user’s use of the Services.

We do not knowingly collect personal data directly from children under 13 (or below the minimum age required by law in their country). If you believe a child has provided personal data to us, contact privacy@taskfari.com so we can take appropriate action.

11) Changes

We may update this Policy. Material changes will be signposted in-product or via email.
